In a nutshell
What is Workflow?
A workflow or a process consists of different, defined activities. Within a business different processes with countless actions take place. From a certain volume and complexity of processes or activities, it starts to get gradually harder for a business to keep track of all its activities. Processes can only be managed with a huge amount of administrative and time consuming expenses. With the amount of processes the potential for unwanted errors rises. Faultless activity becomes impossible and therefore processes are disturbed and efficiency is reduced. A workflow management system takes over the implementation of business processes by using software products for automated instance control.
What is JobRouter?
JobRouter is a workflow management system to describe the organizational structure of your company to automatically control your business processes. Before doing so, these processes have to be described and stored within the software. The integrated designer helps illustrating these processes graphically to get a process overview and in order to make dependences visible.
By using JobRouter you gain full control and transparency over your business processes. The person responsible for the process has the possibility to view all activities and intervene if necessary. He also has an overview of which employee works on which activity. The control of processes can be simplified and the digital illustration of the processes shortens the throughput rate. Escalation rules help to implement defined times to finish certain tasks and deadlines are secured via email notification. The employee does not have to research the status of an instance since the actual status of worked on instances can be displayed. Each instance is automatically documented which creates accurate documentation without additional expenditure. Each instance can be called up again at anytime. The employee is informed by email about new tasks and instances. In general the information flow between employees, departments and locations as well as the process quality is optimized. Thus the profitability of a company is increased significantly and the amount of incorrect instances in the process is reduced to a minimum. JobRouter is conceived so even users without programming knowledge are capable of implementing processes and design or modify tasks.
Can you make ad-hoc workflows using JobRouter?
(Essay by Fritz-Jochen Weber, CEO)
We are asked this question again and again. The answer can be a clear “No”. But with a bit of reflection, the answer can also be “Yes”. Let’s explain why that’s the case.
First, we need to explain the term “ad-hoc”. “ad-hoc” means roughly “based on the situation” or “based on the current position”. In relation to a workflow, it means that a process is defined in relation to the situation, without further preparation. For example, an employee dealing with the incoming post might specify the people or departments who should receive a particular document. It might also be possible to add work instructions and deadlines as well.
By its nature, JobRouter does not support ad-hoc workflows initially. On the contrary - JobRouter is used to define regularly recurring processes precisely. For this, any number of rules and activities can be defined, or interactions with other systems specified. Multi-stage escalations are possible, as are complex deputizing arrangements. All these things are necessary if you want to map processes to satisfy even the smallest requirements for quality management.
Anyone who has designed processes knows that the requirements in real life are complex and rich in variety. Processes are rarely or never so simple as to be capable of being defined with a few clicks of a mouse at the Incoming Post workstation.
Naturally, in a JobRouter process it is also possible to realize situation-related distribution arrangements. The simplest option comes with the action buttons “Assign” and “Query”. More complex things can be realized using sub-tables as dynamic distribution lists. This combines the option for a situation-based decision with the assurance which a proper set of rules gives the process overall.
This brings us back to the question we started with: Can JobRouter handle ad-hoc workflows? Based on our findings above, the comforting answer is: Yes! It is very easy to create an ad-hoc workflow using JobRouter. With the opportunity for more.
JobRouter – the ideal tool for lean management!
The current zeitgeist makes many companies think. In a lot of industries the tendency towards the intelligent management philosophy of lean management shows through.
What does lean management mean?
Lean management aims for an efficient arrangement of the entire added value chain regarding thinking processes, methods and procedures inside the company. The objective is to create processes as lean as possible. But how are the processes going to become lean? Generally for a process to become lean, you have to avoid all unnecessary tasks and coordinate all remaining tasks in the best way possible. The resulting process should be customer but also cost-orientated in order for the company to remain profitable You can only be successful when you can meet the customer's needs – but not at any price. The key is to find the right balance. The best theoretical concepts only help when they are correctly and consequently realized. The question is how you can achieve this? With JobRouter.
What does JobRouter do?
With JobRouter business processes can be displayed, monitored and controlled electronically. A process is only defined once and will then run accordingly every single time. The only exception is the ad-hoc workflow. All rules regarding the handling time, required data as well as the notification of persons are consequently imposed in the way they were defined. To use the time effectively, parallel tasks can be defined. The throughput time is reduced to a minimum while the process quality is enhanced many times over and then remains constant.
JobRouter is quickly installed and integrated into an already existing application. Designing processes or changing existing ones takes little time and does not require deep programming knowledge. Through its browser-based application JobRouter is accessible from everywhere and guarantees optimized process management regardless of the location. This allows JobRouter to meet the lean management requirement of decentralized structures.
This is not the only requirement JobRouter meets: Total process transparency enables you to call up the current status of a process at any time. Open information and feedback processes are created by self-defined notification rules and the possibility to send a step to anyone in the process who might have missing information.
On the side all instances are documented automatically and make manual documentation processes unnecessary.
Through the automation by JobRouter the company's workload is considerably reduced and processes can run smoothly. Thus time and costs can be saved and the customer can be offered the same high quality.
JobRouter enables lean and stable processes within every company – with JobRouter lean management comes alive.
